Proposals Specialist - Aberdeen

We are looking for a full-time Proposals Specialist to join the Proposals team in Aberdeen.

The Proposals Specialist will be supporting tendering activity across the business and all geographical locations. The role will be responsible for managing all tendering activity working with each Business Mangers, Sales and Regional Directors.

 

The main tasks will include working with the business units and functional teams to execute bid response to ITTs/ RFQs, which includes:

  • Arranging and facilitating tender kick-off meetings;
  • Preparation of tender task lists;
  • Preparation in a timely manner of accurate and definitive Technical & Commercial Proposals in accordance with defined scopes of supply;
  • Preparing costings and budget information and coordinating contract reviews with Commercial team;
  • Collating, managing and responding to tender clarifications;
  • Writing, editing and collating content for tender, RFQ submissions;
  • Ensuring actions are completed within tender timeframe;
  • Arrange for hard copy submissions to be printed and bound (where appropriate);
  • Submission of on-time, compliant and approved tender documents;

 

The role has the following responsibilities:

  • Supporting the sales team with identifying tender opportunities / managing forward work plans;
  • Ensure ICR is up to date with online tender portals;
  • Complete pre-qualification questionnaires and documents for all new prospective clients
  • Collate document library for tender FAQs / questionnaires, org charts, generic CVs;
  • Support business with streamlining all technical and operations documents (standardise method statements, work packs, application forms);
  • Research potential clients, competitors and industry press for new opportunities and present ideas for new methods/innovations to the Sales and Commercial Departments;
  • Assist with producing and formatting presentations / case studies and other frequently used tender materials;

 

The successful applicant will have the following:

  • Be educated to degree level;
  • Have varied and detailed experience of proposals and tenders;
  • Have detailed knowledge of key aspects of the tendering process;
  • Experience of bid preparation in a high-pressured operational environment;
  • Experience of using CRM systems, preferably SAP Business One;
  • Excellent command of English language both written and oral;
  • Ability to pro-actively solve problems and to think laterally, whilst working under pressure;
  • Effective communication, negotiating, influencing and inter-personal skills;
  • Competency and skill using MS Office packages, particularly formatting and stylising documents;
  • Excellent organisation and time management skills and an ability to perform effectively under pressure;
  • Proactive, energetic and enthusiastic individual with a can-do attitude and an ability to prioritise own workload and use initiative to manage bids and proposals
