Proposals Coordinator

We are looking for a Proposals Coordinator to join the Commercial team, based in Aberdeen.

The Proposals Coordinator will work within the Commercial team to provide help preparing, processing and coordinating proposals within client deadlines supported by the business units and sales teams. Providing general support to the Commercial team.

This role will report to the Commercial Team Lead.

The main tasks include, but are not limited to:

  • Preparation of accurate and definitive Technical & Commercial Proposals in accordance with defined scopes of supply
  • Working in SAP system to process and prepare sales quotations
  • Ensure that the ICR Proposals Process is adhered to at all times
  • Ensure that proposals/quotations are reviewed and approved in a timely fashion, from both a technical and commercial perspective
  • Liaise with clients during the proposal process / organise and attend meetings if required
  • On receipt of client purchase orders, process Sales Order on SAP and issue to client
  • Support Commercial Team Lead with commercial and contractual tasks
  • Support Proposals Specialist with tender and pre-qualification activity

Key Responsibilities:

  • Delivering all proposals in a timely manner in line with company approvals process
  • Ensuring SAP system is up to date with all open/closed bids at all times
  • Following the service realisation process by creating, developing and maintaining a weekly proposals report
  • Providing professional and accurate commercial support to the team
  • Recognise and adhere to all company HSEQ policies internally and externally
  • Identify and support continuous improvements to the commercial process

Key Skills, Attributes and Experience:

  • Demonstrable track record and experience of preparing proposals
  • Ability to manage multiple work scopes on a day-to-day basis
  • Ability to perform effectively under pressure
  • Ability to take on wide ranging tasks
  • Experience of using CRM systems, preferably SAP Business One
  • Competency and skill using MS Office packages, particularly formatting and stylising documents
  • Proactive, energetic and enthusiastic individual with a ‘can-do’ attitude who can use initiative to manage proposals and prioritise own workload
  • Ability to proactively solve problems and to think laterally, whilst working under pressure
  • Effective communication and interpersonal skills
  • Excellent organisation and time management skills
  • Ability to effectively work within a small team
  • Excellent command of English language both written and oral
